Owner Panel

In this article you will learn how to:

  • create accounts for owners,
  • configure the billing view for owners,
  • generate periodic confirmed owner billing.

To enable the owner role and owner billing module, go to Administration > Owner's panel

Prepare offer before adding owner account

Once you have a quote prepared you can go straight to handling owner accounts.

Step 1: Add owner accommodation locations under Administration -> Company details and policies
Step 2: Add the owner's accommodations and select their locations under Offer -> Accommodations
Step 3: Go to price plans settings and set prices for owner's accommodations in Offer -> Rate plans

Owner Account Maintenance

Step 4: Add an owner account or set the owner role for an existing user under Administration -> Panel users
Step 5: Configure the billing report view for the owner in Marketing -> Reservation settlement report - > Report configuration for the owner
Step 6: Generate periodic owner settlement in Marketing -> Reservation settlement report - > Generate a settlement with the owner

Repeat the steps for each owner you work with.

Methods of settling accounts with the owner and calculating commissions

In Marketing -> Reservation settlement report - > Report configuration for the owner choose one of the three ways to calculate owner amount

I. Reservation value (gross) - external service commission (gross) = basis for calculating the amount for the owner (gross) - VAT rate of the service = basis for calculating the amount for the owner (net) - commission for the manager (own) = amount for the owner

Example of settlement: 15% commission for external service, 10% commission for manager (own) for accommodation with fixed VAT rate 8% and 23% service rate:
1. For a reservation of PLN 100.00 gross from an external service:
100,00 PLN - 15,00 PLN (15% commission for the service) = 85,00 PLN - 19,55 PLN (23% service VAT rate) = 65,45 PLN - 6,55 PLN (10% commission for the manager) = 58,90 PLN amount for the owner
2. For a reservation of PLN 100.00 gross from direct sales (without the commission of the external service):
PLN 100.00 - PLN 23.00 (23% service VAT rate) = PLN 77.00 - PLN 7.70 (10% commission for the manager = PLN 69.30 amount for the owner

II. Value of reservation (gross) - external service commission (gross) - manager's commission (own) on gross value of reservation = amount for owner

Example of settlement: 15% commission for the external service, 10% commission for the manager (own) for the accommodation with a fixed VAT rate of 8%:
1. For a reservation with a gross value of PLN 100.00 from an external service:
PLN 100.00 - PLN 15.00 (15% commission for the service) - PLN 10.00 (10% commission for the manager from the gross value of the reservation) = PLN 75.00 amount for the owner
2. For a reservation of PLN 100.00 gross from direct sales (without the external service commission):
PLN 100.00 - PLN 10.00 (10% commission for the manager on the gross value of the reservation) = PLN 90.00 amount for the owner

III. Value of reservation (gross) - external service commission (gross) - manager's commission (own) on net value of reservation = amount for the owner

Example of settlement:15% commission for external service, 10% commission for manager (own) for accommodation place with fixed VAT rate of 8%:
1. For a reservation with a gross value of PLN 100.00 from an external service:
PLN 100.00 - PLN 15.00 (15% commission for the service) - PLN 9.26 (10% commission for the manager from the net value of the reservation PLN 92.59 (PLN 100.00 - 8% VAT)) = PLN 75.74 amount for the owner
2. For a reservation of PLN 100.00 gross from direct sales (without the external service commission):
PLN 100.00 - PLN 9.26 (10% commission for the manager from the net value of the reservation PLN 92.59 (PLN 100.00 - 8% VAT)) = 90.74 PLN amount for the owner

Then determine the amount of commission of your own, and the commission in external services, which will be included in the calculation.

Extras

Select which extras are to be settled with the owner. E.g. you can bill for cleaning, but omit the City tax. By default all extras assigned to owner's accommodation are selected.

Configure individual booking settlement report view

In this section you can choose what data in your reports should be seen by the owner and you can set how to sort reservations by dates:

  • end of reservation
  • start of reservation
  • payments accepted

Owner role

The owner gets access to the dedicated reservation calendar, where he can see the dates of guests'' reservations, and create his own reservation on free days.

Additionally, he has access to the current booking settlement report for the accommodations he owns.

He also receives confirmed periodic settlements with the Administrator, which may include an additional amount or deduction from the amount for the owner, and an optional note indicating, for example, that a portion of the amount has been deducted for the purpose of repairing the accommodation.
